What Is Qualitify? How a WhatsApp Blind Spot Became a Quality Assurance Platform
If your sales and support team lives on WhatsApp, you already know the feeling: deals are closing, customers are talking, and yet you have almost no idea what is actually being said. Calls happen on personal-feeling phone numbers, conversations disappear into chat threads, and the only quality control you have is hoping your team is doing a good job.
That blind spot is exactly why I built Qualitify. This is the story of what Qualitify is, why it exists, and how a problem I ran into as an employee turned into a product for WhatsApp teams everywhere.
Where it started: life inside a call center
Before Qualitify, I worked as a call center agent. The company had proper call center infrastructure: phone systems, recorded lines, supervisors and a dedicated quality assurance process.
Back then, I didn't think much about that last part. But looking back, quality assurance was the quiet engine that made everything work. Calls were recorded automatically. A sample of them was reviewed against a scorecard. Supervisors listened, scored and gave feedback. Agents knew where they stood, and managers knew which conversations needed attention.
It wasn't glamorous, but it did three powerful things:
- It made performance visible. Nobody had to guess who was doing well.
- It made coaching specific. Feedback pointed to a real moment in a real call, not a vague impression.
- It made quality fair. Every agent was measured against the same criteria.
I took that for granted. I assumed every company that talked to customers had something like it. I was wrong.
The WhatsApp reality: every salesperson, their own number
Later, I moved to a different company with a completely different way of working. There was no call center infrastructure. Instead, every sales agent had their own company phone number, and nearly all business happened on WhatsApp.
Leads came in on WhatsApp. Agents called leads on WhatsApp. Customers called back on WhatsApp. Quotes, negotiations, follow-ups, objections, deals closed: all of it happened inside the same app most of us use to message our families.
And honestly, it worked. In our region, and in many markets around the world, customers prefer WhatsApp. It's familiar, it's fast, and people pick up. Our team was close, communication was quick, and while we weren't running a call center, we didn't feel like we needed one.
At least, not until the day we all had to work from home.
When remote work exposed the blind spot
Working remotely changed everything. When everyone sits in the same office, management happens almost by accident. You hear who is on the phone. You notice who is quiet. You can overhear how a difficult call is handled and step in if it goes wrong.
Remote work removed all of that, and we suddenly realized how little visibility we had into a team that worked mainly on WhatsApp.
The questions started piling up:
- How many hours is each person actually working every day?
- How many calls did each agent make or receive this week?
- How do our sales agents sound when a lead pushes back on price?
- Are our support agents handling frustrated customers well?
- Who needs coaching, and on what exactly?
We couldn't answer any of them. The calls were happening on individual phones, inside an app with no quality assurance layer at all. We had WhatsApp sales teams and WhatsApp support teams doing important work, with no way to monitor, measure or improve it.
Without data, management turns into guesswork, and guesswork turns into one of two bad habits: micromanaging people you can't see, or trusting blindly and hoping for the best. Neither is good for the business, and neither is fair to the agents.
That was the moment I thought back to my call center days.
The idea: call center quality assurance, for WhatsApp
If a traditional call center can record calls, review a fair sample, score them against clear criteria and coach agents based on the results, why shouldn't a team that works on WhatsApp get the same thing?
The more I thought about it, the more obvious it seemed. Millions of businesses run their sales and support on WhatsApp calls, yet the tools for call monitoring, call recording and agent performance were built for a different world: desk phones, headsets and enterprise contact center software that costs more than a small team can justify.
What was missing was something simple, built specifically for WhatsApp teams:
- Record the calls automatically
- Review the ones that matter, fairly
- Measure performance with real numbers
- Turn feedback into coaching that actually sticks
So I started building it. That is how Qualitify was born.
What is Qualitify?
Qualitify is a WhatsApp call quality assurance platform. It helps teams that sell and support customers over WhatsApp record their calls, review them against their own criteria, track agent performance, and coach people based on what the scores actually show.
The simplest way to describe it is three words: record, review, coach.
1. Record: every call, captured automatically
A lightweight desktop app records your team's WhatsApp calls. Every call shows up in one list: who took it, how long it ran, whether it was incoming or outgoing, whether the audio is ready, and where it stands in the review process.
No more wondering what happened on a call. If it happened, it's there.
2. Review: quality assurance that is actually fair
Not every call needs to be reviewed, and no manager has time to listen to all of them. Qualitify picks a fair sample so that review coverage spreads across your whole team instead of landing on whoever is easiest to check.
When a reviewer opens a call, they get a waveform they can scrub through, adjustable playback speed, and notes pinned to the exact second they refer to. Scoring uses your own criteria and your own weighting. You can even flag the critical mistakes that should fail a call outright, like skipping a required disclosure.
A few details I care about a lot:
- An unreviewed call is never shown as a zero against an agent. It is simply a gap in coverage.
- Every score shows how many reviews it came from, so a result based on five reviews is never presented as if it were as solid as one based on forty.
- Drafts save automatically, so a long review never costs the reviewer their progress.
3. Coach: turn feedback into real improvement
A score on its own changes nothing. That's why Qualitify lets you attach a coaching plan to a score: the area to work on, the supervisor who owns it, and the date to follow up.
Later, you can compare reviews from before and after the plan, side by side, with sample sizes shown. You can finally tell the difference between genuine progress and random noise. Agents see the plan written for them, while supervisors keep their own notes private.
Daily call goals and team performance
Qualitify also answers the questions that started this whole journey. You can set a daily call goal per agent (incoming, outgoing or both), see today's progress against it, and view calls, talk time and direction per person next to their review coverage and quality score.
It separates activity from performance. Call volume tells you how busy someone was, not how well the conversation went, and you need both to manage a team properly.
Built on trust, because quality assurance only works when people trust it
When you record calls, trust is everything. A quality assurance tool that agents fear is a tool that fails. So privacy and transparency are built into how Qualitify works:
- Audio is deleted on schedule. Every recording is removed automatically 30 days after the call.
- Reviews outlive the audio. Scores, written feedback and timestamped notes are kept, even after a recording is gone.
- Your company only sees its own data. Separation is enforced on the server, and recordings are served through short-lived signed links.
- Recordings are never used to train AI models.
One more thing worth saying plainly: asking customers for consent and telling your agents that calls are recorded remains your responsibility, and the laws differ by country. It's a conversation every team should have, ideally before the first call is ever recorded. Our FAQ covers consent, who can hear a call and where recordings are kept.
Who is Qualitify for?
Qualitify is built for any team whose real work happens on WhatsApp calls:
- Sales teams that call leads and close deals on WhatsApp
- Customer support teams that resolve issues over WhatsApp calls
- Remote and hybrid teams that lost the visibility an office used to give them
- Small and growing businesses that want call center-style quality assurance without call center-sized costs
- Managers and team leads who want to coach with evidence instead of impressions
If you've ever wished you could just listen to how your best agent handles a tough objection, and then teach the rest of the team to do the same, this is for you.
What's next
Qualitify is young, and this blog is where I'll share what I'm learning along the way: practical guides on WhatsApp quality assurance, how to build a good call scorecard, how to coach remote sales and support teams, and what the numbers really mean when you start measuring them.
If you want to see how it works end to end, the How it works page walks through every stage, from the call to the figures a month later. You can check the pricing to work out what it would cost for your own team, or download the desktop app to get started.
Prefer to be shown first? Book a demonstration and we'll go through it on a shared screen with a real account and real recordings.
Or just jump in: start your free trial. It includes 14 days and 100 calls, and no card is required.
I started Qualitify because I lived the problem twice: once from inside a call center that had quality assurance, and once from a WhatsApp team that didn't. If your team works the second way, I built this for you. Thanks for reading, and welcome to the Qualitify blog.
